Data Protection and Privacy Settings

These settings enable you to meet the privacy requirements of your end users and comply with data protection regulations such as GDPR. They allow your users the choice of sharing or restricting data with your organization and with LeadSquared. The settings available are –

  • Cookie Consent
    Lets you customize and display a cookie consent banner on your website.
  • Email Opt-in
    Gives your leads the choice to opt-in or out of receiving your emails.
  • Personal Data Protection
    Give leads the ability to access, update and delete their personal data.
  • Delete Lead Backup (Data Purging)
    Allows you to delete lead backup data permanently, in instances where data backups are retained before deletion.

You can access the Data Protection and Privacy Settings by navigating to My Account>Settings>Data Protection and Privacy.

Cookie Consent

As part of the privacy settings, you can allow end users to control whether or not they would like to enable cookies on your website (where the LeadSquared Tracking script has been installed). If an end user chooses to disable cookies then their behaviour on your website won’t be tracked. This means that page views, source, UTM parameters, etc. will not be tracked for that particular session.

Note: 

  • The cookie consent banner will re-appear if the user starts a new session (closes the previous browser and starts a fresh session).
  • The cookie consent banner will only be displayed for lead if the ‘Do Not Track’ lead field is empty. For more information, see Data Privacy – Do Not Track.

The setting allows you to display a customizable cookie consent banner on your website. It looks something like this –

To enable the cookie consent banner –

  1. Navigate to My Account>Settings>Data Protection and Privacy>Personal Data Protection.
  2. Alongside Enable Data Protection and Privacy, click Yes.
  3. Under Privacy Settings, alongside click Yes.
  4. Hover the cursor over the settingsSettings icon icon and click Edit.
  5. Customize your cookie consent banner and then click Save.

Cookie consent banner customization options include –

Options Description
Mode Consent mode gives end-users the option of enabling or disabling cookies.
Position Top will display the banner at the top of the webpage while bottom will display it at the bottom.
Headline You can customize the text you want users to see on the headline. You can even modify the text and background colour.
Link You can choose whether or not you want to display a link on the banner. The link is helpful if you want to direct end users to your privacy policy documentation.
OK button Customize how you want users to see the OK button.
Close button Choose whether or not you want to display a close button and how you want it to look.

 

Email Opt-in

The Email Opt-in settings are geared toward upholding the privacy rights of your leads.
By using the email opt-in setting together with the email opt-in automation action, you can let your leads decide whether or not they want to receive emails from your organization. Here’s how you set it up –

 

1. Enable the Email Opt-in Setting

Once you enable this setting, the Do Not Email lead field will automatically be set to True. All leads created from this point on will not receive any emails except the ‘Opt-In Email’ you set up via automation (see step 2).

  1. Navigate to My Account>Settings>Data Protection & Privacy>Email Opt-in.
  2. Set Enable Opt-In to Yes.

Note: After this setting is enabled, users will have to enter comments if they wish to change the Do Not Email field to False manually, through lead import or through rules or automation. Here’s an example from the Add New Lead form where the Do Not Email field box has been unchecked.

2. Set up an Opt-in Automation

The automation action, Send Opt-in Email, lets you send an email to leads where they have the option to choose whether or not they want to receive emails and also set their preferences. It looks something like this –

If a lead chooses to opt-in and receive emails, they’ll then get to choose their email subscription preferences and the Do Not Email field is automatically updated to False.

If, on the other hand, a lead chooses to opt-out, the Do Not Email remains True and you can’t send them any emails.

Note: The Opt-in email can only be sent once in 30 days and is sent even if the Do Not Email setting is True.

Here’s how you can set up a simple automation to send opt-in emails when new leads are added.

  1. Navigate to Marketing>Automation and click Create Automation.
  2. Select a Blank Template, set the trigger to New Lead and click Save.
  3. Click the Add  button and under Messaging, select Send Opt-In Email.
  4. You use the visual designer or text editor to compose the email. The visual designer already has ready-made templates you can preview and use. For this case, select the Opt-in Emails for New Leads template. Click Use or Edit & Use if you wish to make changes to the content.
  5. Now click Publish to set the automation live.

Note: All opt-in and opt-out actions taken by your leads reflect as custom activities with the following details – IP address, Origin, Comments and Date. You can view them on the Lead Details page for a particular lead –

3. Points to Note

  • If a lead’s email address is changed and the Email Opt-in settings are Enabled, the Do Not Email field for that lead will be reset to True.
  • If a lead’s Do Not Email status is changed manually, through import or through rules or automation, users must enter Opt-in comments.
  • All opt-in and opt-out activities are tracked. You can view them on the lead details page as shown above. If you can’t see them enable the Opted In for Email and Opted Out for Email activities from the Notable Activity Type drop-down on the Lead Details page.

Personal Data Protection

The personal data protection setting is another LeadSquared feature that helps you comply with GDPR. When enabled, it automatically creates a landing page in your account (in draft status) that you can publish to existing leads and present them with the following options –

  • View their data
  • Remove their data
  • Update their data
  • Do Not Track
  • Others (comments are available)

 

1. Enable the Personal Data Protection Settings

  1. Navigate to My Account>Settings>Data Protection & Privacy>Personal Data Protection.
  2. Alongside Enable Personal Data Protection, click Yes.

2. Publish the Landing Page

After enabling the personal data protection setting, a landing page with the name End User Data Protection Request Form will automatically appear in your account.

You can edit this page if you want. The form in the landing page will have a Data Protection Request drop-down field where leads can request to view, remove or update their data, make a do not track request or choose the others option and enter comments.

Note: If a lead chooses the Do Not Track option, the ‘Do Not Track’ lead field will be marked as ‘Yes’ and web and email activities for the lead will not be tracked from that point on. For more information, see Data Privacy – Do Not Track.

To publish the landing page –

  1. On the main menu, navigate to Marketing>Landing Pages.
  2. Hover your cursor over the settingsSettings iconwheel alongside the End User Data Protection Request Form landing page and click Publish.
  3. On the confirmation box, click Publish.

Note: Only existing leads can submit a request on this landing page. They will have to specify their email address or any other field included in the form that is marked unique in your account.

Once a lead submits a request on the landing page, they’ll receive the following confirmation email –

3. Check Activity History

When a lead submits a request on the End User Data Protection Request Form landing page, a ‘Data Protection Request’ activity gets posted on the lead details page. The response to the confirmation email is also visible in the leads activity history.

4. Take Action

Each data protection request submitted by a lead, excluding ‘Do Not Track’, must be manually completed. So a lead requests to view their data, update their data, remove their data or chooses the others option, you have to manually perform the required actions.

Note: The ‘Do Not Track’ request automatically updates the ‘Do Not Track’ lead field. For more information, see Data Privacy – Do Not Track.

 

Delete Lead Backup

When leads are deleted from LeadSquared, we still maintain an audit record with the lead’s details. To ensure GDPR compliance and remove all lead data (including the audit data we maintain), you can use the Delete Lead Backup feature.
Enter the lead’s email address and click Delete Lead. On the confirmation pop-up click Yes. If the lead backup exists you’ll see a success message. If the backup doesn’t exist you’ll see a failure message.

Bulk Export and Delete Data

The Bulk Export and Delete Data feature enables you to efficiently manage and optimize your LeadSquared account storage by exporting and deleting large volumes of activity data in a single action. You can choose to export and delete system and custom activities, or permanently delete them without creating a backup.

You can process up to 200,000 activities in a single request, either by exporting and deleting them together or deleting them directly. If you only want to export activities without deleting them, refer to the Export Activities feature.

Smart Views for Administrators

1. Feature Overview

Administrators can create Smart Views and assign them to teams to display relevant records users see in their workspace. By configuring Smart View tabs for entities such as Accounts, Leads, Opportunities, Activities, and Tasks, admins can ensure that each team accesses only the data relevant to their work. Smart Views assigned to teams are available on both web and mobile, making them especially useful for teams that primarily work from the mobile app.

As an admin, you can manage smart views by navigating to My Profile>Settings>Leads>Views>Smart Views.

2. Prerequisites

  • You must be the Admin of your LeadSquared account.
  • You must create Teams in your account.

 

3. How It Works

Smart Views allow administrators to control which records users see by assigning relevant Smart View tabs to teams.

  • Create Smart View Tabs – Admins create Smart View tabs for leads, opportunities, activities, or tasks, and configure filters, columns, and actions.
  • Assign to Teams – The Smart View tab is assigned to the required team.
  • User Access – Users in that team can access the assigned Smart View on both web and mobile, allowing them to view only the records relevant to their work.

This helps teams focus on the most relevant data and work more efficiently.

 

4. Create a New Smart View

To create the first Smart View tab –

  1. Navigate to My Profile>Settings>Leads>Views>Smart Views and click Create.
  2. Enter a name for the new smart view tab, then click Create Tabs. You can add Lead, Opportunity, Activity and Task type tabs.
  3. Create the smart view tab and click Save.

The following example shows a new Smart Views tab for ‘Bangalore Leads’ –

Apart from this, a non-admin user can create new Smart View tabs relevant to them from the Smart Views page.

  1. Navigate to Lead Management>Smart Views from your LeadSquared Dashboard.
  2. On the top-right corner of the Smart Views list tab, click the Add New Tab icon.
  3. Enter the relevant details and click Create Tab.

4.1 Configure Quick Actions and Menu Actions

When you create or edit a Smart View tab, you can configure the actions you want a user to take on the particular entity.

  1. On the Smart Views settings page, under the Actions column, click the Configure button.
  2. Now, from the pop-up, select/deselect the Quick Actions and Menu Actions you want to display, then click Save.
  3. The actions will now appear on the Smart Views page.
Note: You can also configure Lead Actions on task tabs. This will help you use task tabs as a single work area.

4.2 Arrange Columns

You can reorder columns for any tab by clicking the Manage Columns icon on the top-right corner of the grid. Click the checkbox alongside the relevant fields under Select Lead Columns. Then simply drag and rearrange the fields under Reorder Selected Columns in the appropriate place.

Additionally, you can also pin columns. Pinning a column moves it to the front of the grid and freezes it in place. Pinned columns remain visible and do not move or get hidden when scrolling through the grid. You can pin upto four columns, with two primary columns pinned by default. Click the Pin icon alongside the Selected Column, and drag and rearrange the fields as required.

4.3 Manage Filters 

  1. Navigate to Settings>Leads>Smart Views.
  2. Under Actions, alongside the relevant Smart View, click Edit. 
  3. Navigate to the tab and click Manage Filters.
  4. Select the required filters and alongside the Enable filter options for mobile users setting, click the checkbox.
  5. Click Save.

  • A maximum of 5 fields can be selected as filters.
  • The following datatype fields are displayed for lead field and activity field filters –
    • Dropdown
    • Date
    • Date-time

5. Assign a Smart View Tab to a Team

Once you’ve created a smart view tab, you can assign it to a team.

  1. Navigate to My Profile>Settings>Users and Permissions>Teams.
  2. Alongside the team you want to assign the Smart View tab to, click the Actions icon.
  3. Click Apply Smart View.
  4. In the dropdown, alongside the Smart View section, select the smart view you want to assign the team.
    • Click the checkbox alongside Replace Smart View if you wish to replace the previous Smart View that was assigned to the team. This will also replace the Smart View for any children teams that were inheriting the previous Smart View.
  5. Once done, click Save.
Note: The following GIF assumes you’re using the new Teams V2 UI, which makes it easier to assign features (dashboards, workday templates, smart views, etc.,) to teams. You can enable it from Profile>Organization Settings>Advanced Configuration, search for ‘Teams’ and enable Switch to teams UI V2.

6. Set Smart Views as Home Page

In LeadSquared, Dashboards are the default homepage for all users and teams. Administrators can change this by setting Smart Views as the homepage. This allows users to immediately access the records relevant to their work such as Accounts, Leads, Opportunities, Activities, or Tasks when they log in.

Note: A Smart View must first be created and assigned to a team before it can be set as a homepage. For more information, see Assign a Smart View Tab to a Team.

6.1 Set Smart Views as Homepage for Teams

You can assign Smart Views as the homepage for an entire team so that all users in that team see the Smart Views page when they log in.

  1. Navigate to My Profile>Settings>Users and Permissions>Teams.
  2. Hover over the Actions icon next to the relevant team and click Configure Home Page.
  3. In the Configure Home Page pop-up, select Smart Views from the Select Page dropdown and click Save.

6.2 Set Smart Views as Homepage for Individual Users

Administrators can also assign Smart Views as the homepage for specific users.

  1. Navigate to Settings>Users and Permissions>Users.
  2. Select the users by clicking the checkbox next to their names.
  3. Click Bulk Actions above the user grid.
  4. Select Configure Home Page.
  5. In the Configure Home Page pop-up, select Smart Views from the Select Page dropdown and click Save.

7. Set Auto-Refresh Intervals for Smart Views

Keep Smart Views up to date automatically with configurable auto-refresh intervals. The active Smart View refreshes at the set interval, so users always see the latest data. Admins can define different refresh intervals for user roles to support different workflows.

  1. Navigate to Settings>Profile>Advanced Configuration.
  2. Click Configure alongside Configure Smart Views setting.
  3. On the Configure Smart View Filters popup, you will see –
    • Admin Active Tab Auto Refresh Interval (in seconds)
    • Marketing User Active Tab Auto Refresh Interval (in seconds)
    • Sales Manager Active Tab Auto Refresh Interval (in seconds)
    • Sales User Active Tab Auto Refresh Interval (in seconds)
  4. Alongside the relevant row select the refresh intervals in seconds and click Save.

8. FAQs

1. Why does the tab I created from admin settings reference a different activity after assignment?

This issue may arise when View permissions are applied to that particular entity for the user to whom the tab is assigned. Verify the permission template for View permissions. This is applicable to tasks, opportunities, and accounts as well. 

2. Why aren’t the filters configured in Manage Filters applied to LeadSquared’s platform Smart Views while creating an activity tab from settings?

Manage Filters for activity tabs is exclusively applicable to NextGen UI and Marvin. To customize filters for activity tabs, ensure that the NextGen UI is enabled for the tenant.

Universal Telephony Connector – UTC

1. Feature Overview

The Universal Telephony Connector (UTC) enables you to integrate your cloud telephony service provider(s) with LeadSquared –

  1. Integrate multiple instances/accounts of your telephony provider –
    If you have multiple contact centers in different regions (E.g., northern region, southern region, etc.), you can configure each of them as separate tabs.
  2. Integrate multiple telephony providers –
    If you’re using two or more telephony service providers, you can now integrate all of them in one place.
  3. Assign to teams –
    Assign different instances of one telephony provider or even different providers to teams in your account. For example, you can now assign a northern region telephony instance to your northern region team, a western instance to your western team, and so on. For more information on teams, see LeadSquared Teams.

2. Prerequisites

  • You must be an Administrator user to access the connector configuration.
  • Developer experience is required to understand the format of the data and configure the connector with your telephony provider.
  • The table below outlines the distinction between APIs/URLs provided by LeadSquared and those provided by your telephony provider. LeadSquared’s APIs/URLs are accessible through the UTC configuration page, while your telephony provider’s APIs must be obtained directly from them. If you encounter any issues with an API, please get in touch with the respective API owner.

    Call Route API (Lead/Opportunity routing) –

    The Call Route API directs incoming calls from existing leads to the corresponding Lead or Opportunity owner in your LeadSquared account.  

    Note: LeadSquared does not automatically route calls to owners. Instead, it provides the Lead/Opportunity Owner details to your telephony provider, who then routes the call accordingly
    Click2Call API – The Click2Call feature allows your sales reps or agents to initiate outbound calls by simply clicking on a lead’s phone number in the Manage Leads or Lead Details pages
    Agent Popup API – This API logs all inbound and outbound calls made through your telephony account into LeadSquared, ensuring comprehensive call tracking. Agent Panel URL – Agent Panel URL allows you to embed your provider’s Softphone into LeadSquared. 
    Call Log API – All inbound and outbound calls made through your Telephony account can be logged in LeadSquared by setting up Call Logs Call Disposition – Call disposition allows users to record specific information related to a phone call once it ends.
    Single SignOn API – This API enables embedding LeadSquared within your telephony provider’s portal. 

 

3. Installation

Navigate to Apps>Apps Marketplace, search for the Universal Telephony Connector and click Install.

4. Configuration

  1. Next, hover the cursor over the settingsSettings iconicon and click Configure.
  2. Click the Add New Connector button.
  3. Select the Connector Type (LeadSquared Generic Telephony Connector, Ozonetel V2, etc.).
  4. Name the connector, then click Add.

5. Virtual Numbers

Use this section to add one or more virtual numbers (also called DIDs/CLI) for the connector you’re configuring. You can also tag them if you like. Click the Saveicon to save a virtual number and click Add to add another number.

You can even bulk upload virtual numbers through a CSV. We recommend downloading the sample CSV, entering your values in it, and then uploading the file so the format matches what the system expects

Note:

  • Bulk upload has a max limit of 1000 records per upload.
  • If the virtual number is entered in the correct format <+91-number>, only the tag name will be displayed in the the outbound phone call activity.

6. Call Route API

The Call Route API automatically routes incoming calls from existing leads to the respective Lead owner/Opportunity owner in your LeadSquared account. The API must be configured as a hook on your telephony provider’s end.

  1. Copy the Call Route API (will resolve to Lead, Opportunity, or Tickets) and deploy it in your cloud telephony account.
  2. Use HTTP GET to send the data. Please refer to the ‘Usage’ section to understand how to send the data.

Note:

  • In existing instances, the deprecated Lead Route API has been replaced with Call Route API. In new instances, only the Call Route API will be displayed.
  • To add an extra layer of security you can Enable Additional Authentication and pass the generated key-value pair in the request header when calling the API. These additional authentication headers can also be generated for the Agent Popup API and Call Log API.

7. Agent Popup API

Enable real-time call notifications to users in the form of an Incoming Call Popup during an inbound call from a lead (made to your virtual number). The pop-up displays the lead’s details if the lead exists in your account, or displays an empty form that agents can use to capture the new lead.

Note:

  • When you select Enable, it allows admin users to enable the Show Phone Call Popup setting for all users in the account. Disabling this setting does not turn it off for all users.
  • Incoming calls matching a lead’s secondary phone number will be tracked without creating a duplicate lead.
  • If you have multiple leads with the same phone number, you can pass the LeadId in the Agent Popup API. This will ensure that the correct lead details appear in the agent popup. For e.g., "LeadId": "4c70ce73-0732-4977-85a2-fb49a978b85c".
  • To enable client-side logging, which allows browser events, messages, and errors to be logged to a log stream (e.g., Loggly), contact your account manager or write to support@leadsquared.com.
  • You can disable the close icon on the Agent Popup form by enabling Hide Close Option “X”. This feature ensures that agents adhere to specific workflows and processes by preventing accidental popup closures.

  1. Copy the Agent Popup API URL from the Agent popup tab and deploy it in your cloud telephony account.
  2. Use the HTTP POST method to send the data to LeadSquared in JSON format.
  3. Enable Agent Popup by selecting the checkbox.

Telephony providers send us varying data using the Agent pop-up API. Enable custom mapping to map the variables received in the JSON file to the corresponding LeadSquared parameters.

Agent Panel Settings
The agent panel enables you to embed a softphone and manage your call center actions directly from your LeadSquared account. Add a custom URL and append mail merge parameters (click the help help icon) to configure the agent panel.

Note:

  • When you Enable Agent Panel, it allows admin users to enable the Is Soft phone Enabled option for all sales users in the account. Disabling this setting does not turn it off for all sales users.
  • Agents will be presented with only the relevant Angent Panels based on the team-mapping configuration. If team-mapping has not been configured across any instance, then the mapping from the default instance will be applicable.
  • For available Mail Merge fields, read this article.

Show on Top Displays the agent panel over any overlapping window (including the agent pop-up).
Hide Scale Button Hides the maximize/minimize buttons on the panel.
Panel URL The source iFrame URL for the panel. Click the help help icon to learn how to append mail merge parameters.
Panel Permissions Configure iFrame permissions like microphone, camera, geolocation, etc.
Panel Title Customize the display text on the panel title bar.
Panel Height Adjust the default height of the panel (in pixels).
Panel Width Adjust the default width of the panel (in pixels).

 

8. Call Log API

All inbound and outbound calls made through your Telephony account can be logged in LeadSquared by setting up Call Logs. These logs will be posted to LeadSquared as incoming/outgoing phone call activities.

You can also enable custom mapping functionality, to map and capture data about each phone call in the relevant LeadSquared activity fields. There are also custom fields available to map additional data provided by your telephony service.

Note:

  • When your Telephony provider calls the LeadSquared API, data can be pushed into LeadSquared using POST method in JSON format.
  • For this API, the Content-Type has to be set to application/JSON, and the Body should be passed in the raw JSON format.
  • The Content-Type application/x-www-form-urlencoded is deprecated but is supported on legacy versions.
  • In Custom Mapping, when you select the Custom option (below required, additional), you can use the fields mx_Custom_10 till mx_Custom 14 to store additional data sent by the telephony provider.

Once you’ve finished the configurations, you can check your telephony logs by navigating to My Account>Settings>API and Webhooks>Telephony Logs.

9. Click 2 Call API

The Click2Call feature enables your sales reps/agents to place an outbound phone call just by clicking the lead’s phone number (on the Manage Leads or Lead Details pages). If you use the Opportunities feature, click 2 call can be used to call leads from the Opportunity Management and Opportunity Details pages as well.

Depending on the capabilities of your telephony provider, it can be configured using either a server-side API or a client-side script.

Server-side API

This is the default configuration option.

Your telephony provider’s Click2Call API is configured here, and you can append mail-merge parameters (like agent phone number, lead phone number, etc.) to the API URL to facilitate the calling functionality.

    1. Pass the Click2Call API in the URL textbox.
    2. You may optionally pass custom headers to the API for authentication.
    3. Select the HTTP method needed by the telephony operators Click2Call API.
    4. Map a keyword from the response of the Click2Call API. Typically we use a keyword like “success”. This lets our system know that the API request fired correctly and a response was received.
    5. Choose the format of the API response data (Text, JSON).
    6. Admins should configure their telephony provider’s email address in the Provider Support Email field. This ensures that agents receive clear guidance when encountering call failures due to either UTC configuration issues or provider-side technical problems.
    7. You can filter virtual numbers for users by toggling the Enable Virtual Number Filter option. Read this article for more details.
    8. Click the Enable Checkbox checkbox.

Client-side Script

For telephony providers with JavaScript SDKs, the Click2Call functionality can be configured using a client-side script. The outbound phone call functionality will be handled by the script and the call will be initiated via the browser to the telephony provider.

  1. Enter the URL of the Javascript file, which must be hosted on the LeadSquared domain (external domains are not supported). The JS file will be published only after an internal review process.
  2. You can pass data to the script using mail-merge parameters (like agent phone number, lead phone number, etc.).

Note:

  • For a sample JS file template, please reach out to your account manager
  • Additionally, a flag called Is Softphone Enabled must be checked for each agent, in the user settings UI. This also disables the “Agent Panel” for the agents.

10. Call Disposition

Call disposition lets users enter certain information related to a phone call once it ends.

Note:

  • To use this feature, you must first create a Custom lead field in LeadSquared (say ‘Disposition’). For more information, see How to Create Custom Lead Fields.
  • Disposition is available only on Lead Fields.
  • Only 1 <string> value can be sent to the provider as disposition.
  • User Fields can also be mail-merged in the URL and Data Template – contact support@leadsquared.com to enable this feature.

When a call has ended the agent can select an appropriate disposition value on the Call/Agent-Notification Popup, dispose of the call, and get ready to receive the next upcoming call.

  1. Deploy the URL provided by your telephony service in the URL field with the necessary parameters.
    • @callSessionId  – Call session Id passed by the telephony provider in the agent popup request
    • @customerNumber – Lead Phone number
    • @virtualNumber – The virtual number of your telephony account
    • @dispositionValue – Selected disposition value in the agent popup form*
    • @agentNumber – Agent’s phone number
    • @agentId – User Id of the agent
    • @notes – Notes on the call
    • @comments – Comments on the call
    • @date – The date of the call
  2. Select the HTTP method in which your telephony service accepts the data.
  3. You can initiate the following actions (and make them mandatory if required) once a call is disposed of –
    • Create a task
    • Create a custom activity
    • Update a lead field

*On Default Lead Field you must map the custom field you have created to capture the disposition value (refer to the Note above). This field can then be mapped with @dispositionValue in the URL (GET request), or in the Data Template (POST request).

11. Single Sign-on API

This API will help you embed LeadSquared within your telephony application. Use the API and the HTTP POST method to send data to LeadSquared in JSON format. To get the leads details, use the Lead Details API.

Lead/Opportunity Sharing via SSO APIs
Lead or Opportunity Sharing allows agents to temporarily view/edit the information of a lead or Opportunity (during an inbound phone call) that they don’t have access to. For integrations that don’t support the Agent Pop-up functionality, SSO APIs are used for Sharing. Previously, SSO APIs only supported the lead’s phone number to facilitate the identification and sharing of the lead to the agent. Now, the Lead Id is also supported. This will help customers who have leads in their accounts with the same phone number.

Note: 

  • leadId can be passed in the Lead Details API URL instead of leadphonenumber.
  • Lead sharing can also be enabled through Telephony Settings.

 

12. Team Assignment

You can assign an instance to one or more teams. While making an outbound phone call (using click2 call), the users in those teams will see the instance(s) assigned to them and can choose to place the calls from any of the virtual numbers created for an instance.

So for example, you can create 2 connector tabs, say ‘Bangalore’ and ‘Chennai’, and assign them to your Bangalore and Chennai teams respectively. Your Bangalore team will then only see the virtual numbers associated with the Bangalore instance tab.

Note: If you haven’t assigned any of the instance tabs to any teams, while making outbound phone calls your users will see the virtual numbers that are configured in the default instance tab (the one marked with the tick). You set a tab as default by navigating to that tab and clicking Mark As Default under the Settings Settings icon icon –

13. User Agent Mapping

Here, you can map each agent/user to a unique identifier. This will be used to identify the correct agent when the ‘Agent’s Phone Number’ or ‘Source Number’ is not stored in LeadSquared.

You may enter any string/alphanumeric value for the Agent Identifier. When calling the Call Log API or Agent Popup API pass this value in the post body like "AgentId":"abcd1234" . The call log posted for the phone call will be updated with the agent/user associated with the Agent Identifier value, even if the source number is not available. Similarly, the user/agent to display the agent popup to will be identified based on the Agent Id value.

You can even bulk upload User-Agent mapping through a CSV. We recommend downloading the sample CSV, entering your values in it, and then uploading the file so the format matches what the system expects. The max limit is 1000 records per upload.

14. Call Status Mapping

UTC supports mapping provider-specific call statuses to LeadSquared-specific statuses. Admins can customize call status mappings and configure multiple statuses as a comma-separated list for Inbound and Outbound calls.

For example, let’s specify Attended as the Provider Status Code for Answered.

Then, the Raw Call Status in the call log will show this mapping after the call ends.

15. Integrate with Opportunities

You can integrate the Universal Telephony Connector (UTC) connector with LeadSquared Opportunities. To know how to do this, please refer to Opportunity Integrations in Telephony.

This will enable you to track phone call interactions with your leads, for each opportunity or potential deal. Completed calls will get posted as activities, against the respective opportunities, on the Opportunity Details page.
