LeadSquared Portal Designer

1. Feature Overview

LeadSquared’s Portal feature enables you to build your own customized online portals (for education/insurance/lending/medical applications, course registrations, etc.) to capture leads and opportunities. The Portals Designer lets you build entire portals without writing a single line of code. It offers pre-built templates for common use cases across industries, and also the ability to design a portal from scratch, using the simple drag-and-drop interface.

2. Prerequisites

  • To use registration/log-in forms and lead, opportunity, activity and task capture forms, you must first create the relevant forms or processes (sequences of forms) using Forms and Processes.
  • The Portals Designer is a part of the Portals feature. To enable Portals on your account, please write to support@leadsquared.com.

 

3. Getting Started

3.1 Select an Existing Template

To select from the list of templates –

  1. To create a portal-
    1. From the LeadSquared dashboard, navigate to Workflow>Manage Portals.
    2. Click the Create Portal button.
    3. Give a relevant name for the portal, and add a description if required. Once you’re done, click Create.
  2. After you’ve created a portal, on the Manage Portals page, click the portal name.
  3. Under Getting Started, click Select Template.
  4. On the Choose Template pop-up, to select a relevant template for your business from the list of available options, click Get Started.
  5. Provide the Version Number of the template you’ve chosen, and then click Proceed to Builder.
  6. Once the version is created successfully, you’ll get a message stating the same. You will then be automatically directed to the portal designer page.
Note: If you select a template, you will not be able to upload a ZIP file containing your own custom portal design.

3.2 Build from Scratch

Alternatively, you can choose to build your own portal page from scratch in minutes.

Click on Others, and click on Get Started.  On the designer, you can –

  1. Click on Add Design Block  or the add section icon icon to add a section.
  2. Choose from a wide range of industry-specific templates and pre-designed sections (hero banners, testimonials, forms, sliders, etc.).
  3. Customize if required.

3.3 Save and Reuse Sections

You can save any section or element you create (e.g., a testimonial block, a call-to-action banner, or a lead capture form) and reuse it across any Portal and Landing Pages Pro.

For example, If you’ve created a custom header with your brand’s logo and navigation, select that element and click on the save section icon icon to Save Section. Now, you can apply it to all future pages from the Saved Sections panel in the designer.

4. Layouts

The page layout is divided into the following –

  • Section – This is the base layout of a particular section on the page. This will hold the rows and columns, which will help you manage the structure of your content.
  • Rows and Columns – Rows contain columns, which in turn contain various elements. Rows are stacked vertically, while columns are stacked horizontally. Using rows and columns together, you will be able to arrange your content on the portal designer.

5. Elements

The elements that go inside each layout are –

  • Header – The header for the selected layout. This can either be the over-all page header, or an individual section’s header.
  • Paragraph – The text content that is present within a layout, for a specific section.
  • Image – To add an image within the selected layout, click Choose Image, and upload an image. To make the image interactive, configure an action by clicking Action on Click/Tap.
  • Video – To add a video within the selected layout, enter the video’s URL under Video URL. To autoplay the video when a cursor is hovered over it, toggle the enable icon slider.
  • Button – You can add a button within a layout, and under Action on Click/Tap, you can configure what happens when the button is clicked/tapped.
  • Custom HTML – This feature gives you a code editor to add any custom HTML code to your portal. To do this, drag-and-drop a Custom HTML block. On the outer box, click HTML Code, and add your HTML code.
  • Signup Form – The Signup Form feature enables you to build registration and sign-in forms on your portal. To know more, please refer to LeadSquared Portal Designer – Create Sign Up Forms.
  • Form – You can choose to add a LeadSquared form and/or process within a section on the webpage.

6. Action Tool Bar

You can use the following action on Sections, Rows, and Columns –

  • Hide on device – This feature lets you control how layouts display on desktop or mobile. You can hide or show specific sections based on the device to create a cleaner, more tailored user experience. Select an element, choose the device to hide it from, and preview your layout to ensure it looks right on both desktop and mobile.
  • Move Up – Shift the selected Section, Row, or Column upward.
  • Move Down – Shift the selected Section, Row, or Column downward.
  • Move Left– Shift the selected Section, Row, or Column to the left.
  • Move Right– Shift the selected Section, Row, or Column to the right.
  • Clone – Create a duplicate of the element.
  • Delete – Remove the selected Section, Row, or Column.

Note:

  • The Hide on Device feature is available for backward compatibility but is no longer recommended. Instead, use the Mobile Editor for a cleaner and more intuitive layout experience
  • You can only have one form on a portal page. However, if you hide a form on one device, you can add another form to the page and hide it on the alternate device.

7. Properties

Each layout listed above can be customized by using the following properties –

7.1 General

This is only applicable for navbars and forms.

  • Navbar Behavior on Scroll – Set the navbar behaviour while scrolling through the page, to either remain sticky on the top, scroll with the rest of the page, or fade out while scrolling through the page.
  • Logo Position in Mobile – Choose how you want the logo to be positioned on the mobile device version of the page. It can either be to the left of the screen or centre of the screen.
  • Menu Icon Position in Mobile – Choose how you want the main menu to be positioned on the mobile device version of the page. It can either be to the left or right of the mobile device screen.
  • Menu Icon Color – Pick a colour for the menu icon from the gradient screen, or enter the hex code for a specific colour.

7.1.1 For Forms

The properties of a form are –

  • Integrate – Choose either a form or a process to integrate with your portal page.
  • LSQ Form – If you chose a LeadSquared form, then select the form from the dropdown.
  • LSQ Process – If you chose a LeadSquared process, then select the process from the dropdown.
  • Form Design – Choose the form design from the dropdown.
  • Show Form Title – To show the title of the form on your portal page, toggle the enable icon slider.
  • Show Tabs/Navigation – To show the sections within the form, toggle the enable icon slider.
  • Show Section Names – To show the names of the sections within the form, toggle the enable icon slider.
  • Accent Color – Select the colour of the Save button and tabs from the gradient screen, or enter the hex code for a specific colour.
  • Font – Select the font you want to display on the form.

7.1.2 Buttons and Links

The following General properties are only applicable for buttons and links.

  • Action on Click/Tap – This determines the button’s/link’s behaviour when it is clicked or tapped on. You can choose from any of the following actions –
    • Open External Link – Add the external link you want the lead to be redirected to –
      • Link – Add the URL of the website you want your lead to be redirected to when the button/link is clicked.
      • Open in New Tab – To open the link on a new tab, enable the enable icon slider.
      • Render as – To render the action as a button, select Button.  To render the action as a link, select Link.

    • Link Page – Select the portal page you want the lead to be redirected to when they click the button/link.
      • Page – From the dropdown, select the page or section you want your lead to be redirected to within the portal.
      • Query String – You can send the value of a particular field (First Name, Mobile field, etc.), by adding a mail merge parameter here. This will ensure that the field value is carried forward to the subsequent pages that have been configured.
      • Open in New Tab – To open the link on a new tab, enable the enable icon slider.
      • Render as – To render the action as a button, select Button. To render the action as a link, select Link.

LeadSquared Portals Button

    • Download File – Enable your leads to download a file (like prospectus, etc.) when they click the button/link.
      • Upload File – Click Choose File, and upload the file, or select the file from your media library, which is automatically downloaded when your lead performs the action.
      • Use Mail Merge Values – Alternatively, you can mail merge a custom field set (CFS) that contains a file, by selecting the CFS from the dropdown.
      • Render as – To render the action as a button, select Button.  To render the action as a link, select Link.

    • Based on Rules – This option allows you to set-up rules based on the choices a lead makes. For example, if the lead chooses “City” as “New Delhi”, the you can set-up a condition that redirects the lead to the portal page for leads in New Delhi. Similarly, if the lead chooses “Course” as “B.Tech”, you can set-up a condition to download the prospectus form for B.Tech applicants. To set-up rules –
      1. From the Actions on Click/Tap dropdown, select Based on Rules.
      2. Click Configure Rules, and on the Configure Rules pop-up, rename the rule.
      3. From the any dropdown, choose if you want the condition to be any or all, and set-up the base rule.
      4. From the Then dropdown, select the action you want to be carried out when the condition is satisfied.
        • Open External Link – Add the URL of the website you want your lead to be redirected to when the action is performed. To open this link on a new tab, enable the enable icon slider against Open in New Tab.
        • Link Page – From the Select dropdown, select the portal page you want the lead to be redirected to once the action is performed. You can send the value of a particular field (First Name, Mobile field, etc.), by adding a query parameter here. This will ensure that the field value is carried forward to the subsequent pages that have been configured. To open this link on a new tab, enable the enable icon slider against Open in New Tab.
        • Download File – Choose the file that should be downloaded when the lead submits the form.
      5. To add more rule, click Add Rule.
      6. Once you’re done, click Save. You’ll then get a message saying, “Rules saved successfully”.

    • None – If you want no actions to be performed, choose None.
      • Render as – To render the action as a button, select Button.  To render the action as a link, select Link.

 

  • Button Effects
    • Hover Effect– When you move your cursor over a button, it will animate. Under the Effects tab, you can enable Hover and click on Manage Effect. You can choose from the following three effects when you hover over a button –
      • Shadow Effect – Display a shadow around the button.
      • Color Effect – Animate using colour transition.
      • Shrink & Grow Animation -The button will animate by shrinking in size and re-sizing to the original.

Note: To configure a button within a form, click States, and from the Action on Successful submission dropdown, select an action. The configuration steps remain the same.

 

7.2 Spacing & Dimensions

  • Padding – Set the padding for the selected layout. If you want the padding dimensions to be applicable on all sides of the layout, against All Sides, toggle the enable icon slider.
  • Margin – Set the margin width for the selected layout. If you want the margin to be applicable on all sides of the layout, against All Sides, toggle the enable icon slider.
  • Min Height – Set a minimum height for the selected layout. If you want the height to be set automatically, against Auto, toggle the enable icon slider.
  • Max Width – Set the maximum width for the selected layout. If you want the height to be set automatically, against Auto, toggle the enable icon slider.

7.3 Border & Radius

  • Border – Set the size, style and colour for the border around the selected layout. If you want the border to be applicable on all sides of the selected layout, against All Sides, toggle the enable icon slider.
  • Border Radius – Set the radius for the border around the selected layout. If you want the border radius to be applicable on all sides of the layout, against All Sides, toggle the enable icon slider.

7.4 Background

You can either choose to leave the section’s background blank, or set an image, or a background colour.

  • To add an image, from the dropdown, select Image. Then, click on Choose Image to choose an image from your Image Library.
  • To set the background colour, from the dropdown, select Color. Then, choose a colour from the gradient screen, or enter the hex code for a specific colour.
  • Select Gradient to add a consistent visual theming.
  • Select Slide Show to extend the idea of a hero image, allowing you to present multiple images in a sequence. Click Manage Slides to add more slides.
  • To leave the background blank, from the dropdown, select None.

You also have the option to add a Background Overlay. It enhances the readability of the text and reduces visual stress for viewers. You can enable Background Overlay by toggling enable icon the slider. It has 2 options –

  • Color Overlay – A color filter that puts a tint on the selected element to make the text more readable.
  • Blur Overlay – Customize the intensity of the blur to be added to the background.

You can make your background images dynamic and reactive to scroll movements.

  • Parallax Effect – Select a background image, on the right-hand panel, navigate to Effects, and enable Parallax Effect

7.5 Shadows

Set a shadow for the specified layout.

7.6 Advanced

  • Opacity – Set the opacity for the layout.
  • Display – It determines the CSS display behaviour of a specific layout.
    • Block – Displays a layout as a block element.
    • Flex – Displays a layout as a block-level flex container.
    • Inline – Displays a layout as an inline element.
    • Inline Block – Displays a layout as an inline-level block container.
    • Inline Flex – Displays a layout as an inline-level flex container.
  • Action on Successful Submission – This is applicable only for Forms. You can configure the following actions on a successful submission –
    • Open External Link – Add an external link, and configure if it opens in the same tab or a new tab.
      • Link – If you choose Open External Link as the Action on Successful submission, then add the URL of the website you want your lead to be redirected to, when the form is submitted.
    • Link Page – Select the portal page you want the user to be redirected to on successful submission.
      • Page – If you choose Link Page as the Action on Successful submission, then from the dropdown, select the page or section you want your lead to be redirected to, when the form is submitted.
    • Download File – Enable users to download a file (like prospectus, etc.) on submission by uploading it here.
      • File – If you choose Download File as the Action on Successful submission, then under File, click Choose File, to choose a file from your Document Library.
    • None – No action will be taken on successful submission.

8. Actions

You can perform the following additional actions on a page –

  • To completely clear the portal designer canvas, click the Clear Portal Designer icon.
  • To undo the changes you recently made, click the Undo icon.
  • To redo the changes you recently made, click the Redo icon.
  • To save your progress with the changes you made, click the Save icon.
  • To preview the page, click Preview.
  • Once the page is ready, click Publish to Test. This will publish the page to the test environment.

9. Add Multiple Web Pages

Add multiple web pages (home page, contact us page, application dashboard, etc.) to your LeadSquared Portals, using the Portal Designer. You can also make logins compulsory to view certain pages. This can be used for application and user profile pages. To know more, please refer to Create Portals with Multiple Web Pages.

 

10. Mobile Editor

To help you create fully responsive and mobile-first designs, Portals includes a Mobile Editor. This feature lets you switch to mobile view and customize the layout specifically for mobile devices, ensuring a smooth experience for the majority of your audience.

Beyond cosmetic changes, the Mobile Editor allows you to tailor functional behavior—for instance, you can design distinct user journeys on mobile and desktop. You might choose to present a simplified, app-like experience on mobile while offering a more feature-rich layout on desktop.

Note:

  • The older Hide on Mobile and Hide on Desktop options are no longer recommended. Instead, use the Mobile Editor for a cleaner and more intuitive layout experience.
  • A default mobile version is automatically generated based on your desktop design, so using the Mobile Editor is optional. You only need to use it when you want to fine-tune the mobile layout or create a different experience tailored specifically for mobile users.
  • Mobile layouts are only visible to users accessing the page on mobile devices. This view is not supported on Tablets.

Key Capabilities

Here are some capabilities of the mobile editor –

Full Editing Support

The mobile editor offers the same drag-and-drop functionality as the desktop editor, allowing you to add, rearrange, or delete components in mobile view. Once a section is edited in mobile, it becomes independent of its desktop counterpart, future changes made on desktop won’t affect it unless reverted.

Section Sync and Revert Behavior

When a section is edited in mobile view, it becomes independent of the desktop version and is marked with an orange border to indicate it is out of sync.

You can click on an individual section to revert it, or you can revert the entire mobile layout at any time to restore alignment with the latest desktop design.

Note: Headers and footers remain in sync across both desktop and mobile views—any changes made to them on desktop will automatically reflect in mobile. If you need different headers or footers on mobile, you can create separate variants directly within the mobile editor.

Click on Preview to preview and test your mobile design.

11. Test the Portal

Once the portal is designed, you can test it by deploying it on the Test Environment. Once it is successfully tested, you can make it live.

  1. After you’ve created the portal and click Publish to Test, the portal is automatically uploaded to the Test Environment.
  2. For a couple of minutes, the Test Environment status will stay Red red.
  3. The status will automatically turn Green green. If it doesn’t, click on the Refresh refresh icon.
  4. If your portal is enabled in the live environment, you can click Publish to Live.

12. Configure the Portal

On the Portal page, navigate to Overview>Finishing Up>Settings, or click the Settings tab to Configure the portal. Here, you can configure the name, domain, email and SMS settings for the portal.

12.1 General Settings

Provide the name and description of the portal. This will help your users identify the portal. Once you’re done, click Save.

12.2 Domain Settings

Default Domain – You can host your portals on LeadSquared’s default domain.

  1. In the Domain Settings column, enter a subdomain name for the portal you’ve created.
  2. The URL for the default LeadSquared domain is “lsqportal.com
  3. Once you have added the details, click Confirm.

To delete the portal, click Delete Portal.

Custom Domain – Alongside Use Custom Domain, enable the enable icon slider to host the portal on your own custom business/brand sub-domain (e.g., applications.mybusiness.com).

12.3 Email Settings

You can edit or disable email notifications a lead or opportunity would receive for “Signup”, “Forgot Password”, “Password Reset”, and “OTP Verification Email”. To configure these emails –

  1. Navigate to Settings>Email Settings.
  2. Expand the email tab. You will find the Disable Email and Edit options.
    1. If you want to edit the email, click on the Edit button. This opens a window where you can edit the email.
    2. Once you’re done editing the mail, click Done.
      • To send out a test mail, click Save and Test, and on the Test your email content pop-up, enter the mail Id to which you want to send the test mail.
  3. To disable these emails, click Disable Email, and confirm that same.

12.4 SMS Template Settings

To verify your lead’s mobile numbers (for Portal Registration and Portal Login), we send out OTPs via SMS. This is done by default, and it requires no additional configuration from your end. To include your company’s name in the default SMS, click Edit, and enter the name.

13. Version History

You can view the various versions of the code that was uploaded on this portal.

  • Under Actions, click the Actions icon against any version of the code.
  • To test a previous version of the code, click Publish to Test.
  • To download a previous version of the code, click Download Zip.

14. Releases

  • You can check all the versions that have been uploaded to the portal under the Releases tab.
  • The default selection is All Releases, but you can also filter by Test Releases and Live Releases.

15. Troubleshooting

1. Issue: Field Updates on the Form are Not Reflected in the Portal

  • Description: The values updated in a drop-down field in a form are not appearing in the portal as expected.
  • Cause: This is due to a caching issue. When form changes are made, the portal may not immediately reflect the updates.
  • Solution: To resolve this, reconfigure the form within the portal and republish the portal. This will clear the cache and apply the updated values.

2. Issue: I’m unable to Publish my Portal to Live Environment

  • Description: I’m receiving the following error when I try to publish my portal to the live environment – “There was an error processing the request. Please contact administrator.”
  • Explanation: This issue typically occurs when the custom domains for the portal are not verified, or there is a mismatch in the CAA (Certification Authority Authorization) records. The CAA records must be correctly configured and verified to successfully publish the portal.
  • Solution: Verify that the custom domains are properly configured (see How to Use Custom Domains for Portals). Check for any mismatches in the CAA records and correct them.

3. Issue: Duplicate Dynamic Form Submission Captured Against Lead

  • Description: The form submission from the portal is being captured twice for the same lead, causing the lead stage to revert to a previous stage.
  • Cause: This happens when a student opens the form in multiple browser tabs and submits the form from different tabs. Each submission gets recorded separately, leading to the duplication.
  • Solution: To prevent this, enable the “Disable Duplicate Tabs” setting in the Advanced Configuration of the Portal. This will restrict form submissions from multiple open tabs and avoid duplicate submissions.

4. Issue: “Cannot Open Duplicate Tabs” Error in LeadSquared Portal

  • Description: When attempting to open the LeadSquared Portal in a new tab while already logged in on another tab, you may receive the error message: “Cannot open duplicate tabs.”
  • Explanation: This message appears because the portal is already open in another tab with the user logged in.
  • Solution: Sign Out or Close Tabs: To resolve this issue, please sign out from the already open tab or close all tabs in your browser. Then, reopen the Portal in a new tab.

Organization Settings – Advanced Configuration

1. Feature Overview

The advanced configuration page enables you to manage settings related to key features for your organization. Once enabled, settings are applied globally (for all users) across your LeadSquared account. This article explains each of these settings in detail.

 

2. Prerequisites

  • Settings on this page are only accessible by LeadSquared Admin users.
  • Certain settings are available only if the associated feature is enabled on your account. Contact us at support@leadsquared.com if you want to enable new features on your account.

 

The Advanced Configuration page is available under Settings>Profile>Organization Settings>Advanced Configuration.

4. Settings

  • Allow Date Field in CFS

When enabled, admin users can create date type fields within Custom Field Sets. One of the primary use cases for Custom Field Sets is to upload files and documents (for KYC, loan approvals, education assessments, etc.). This setting will help users capture dates associated with these document collection activities.

  • Allow International formats for Exotel Virtual Numbers

Enables you to configure international phone numbers in the Virtual Numbers (Caller Id) field of the Exotel V2 connector.

  • Allow LOS in CFS

When enabled, admin users can add a large number of values (see Large Options Set) to drop-down type fields within Custom Field Sets. This is helpful if you want to create drop-downs with a large number of values like a list of schools/colleges, a list of doctors/hospitals, multiple locations/cities, etc. Once enabled, while associating the CFS with a lead or activity, you can upload a CSV file with the list of options instead of creating them manually.

  • Allow only one user to “Mark a Task Complete” via Dynamic Forms

When enabled, two users will not be able to mark a task as complete from a dynamic form at the same time. Only a single user can mark a task as complete.

  • Allow sales group functionality to sales manager
    When enabled, Sales Manager user roles will be able to access the Sales Groups Settings page to create, manage and delete sales groups.

Once you enable this setting, ensure the following permissions are given to your Sales Managers –

  1. Navigate to the My Profile>Settings>Users and Permissions>Users, and create or edit a user.
  2. Click Manage Permissions, click Edit, and from the Manage Users dropdown, select Sales Manager.
  3. Alongside Allow Sales Group Access, enable the Checkbox checkbox.
  4. Once you’re done, click Save.

When enabled, the Smart Views task grid automatically reloads once a task is marked as complete.

  • Allow User Hierarchy Management

Once enabled, admin users can create and update user hierarchies from the Manage Users page. The user hierarchy UI gives users a simple drag and drop interface to organize users according to their reporting managers (based on the ‘Reporting To’ user field). For more details see Manage Users.

  • Allow users to save dynamic forms as Drafts

Enable this setting to access the Save as Drafts feature which enables users to save their progress while filling out Dynamic Forms, allowing them to pause and return later to complete and submit the form. To know more, see Save a Dynamic Form as a Draft.

Note: This is available only on NextGen.
  • Allow Users without lead access to create opportunities

When the ‘Allow Sales User to Create Opportunity on Inaccessible Leads’ setting is enabled, users will be able to view all leads in the associated field search results, ensuring no relevant lead is missed during opportunity creation. Additionally, even when both ‘Allow Sales User to Create Opportunity on Inaccessible Leads’ and ‘Allow Sales User to Update or Overwrite Lead Fields of Inaccessible Leads’ settings are enabled, the system will allow users to search for leads but will restrict them from modifying lead fields.

  • Avoid edit conflicts on Email Campaign Page
    When enabled, multiple users will not be able to edit an Email Campaign at the same time. An error notification will be displayed to subsequent users who try to edit the campaign.
  • Avoid edit conflicts on Landing Pages
    When enabled, multiple users will not be able to edit a Landing Page at the same time. An error notification will be displayed to subsequent users who try to edit the page.
  • Change Owner of Opportunity Tasks on Opportunity Owner change
    Once enabled, every time there’s a change in the opportunity owner, pending and overdue tasks on that opportunity will be automatically assigned to the new owner.
  • Check-in/Check-out status configuration
    Allows you to configure status names and status colours for user check-in and check-out. To know more, please refer to User Management Features: Check-In and Check-Out.

The statues configured here will reflect on the Check-In/Check-Out widget.

Check-in and check-out

    • Configure Actions Panel in Manage Leads/Activities/Opportunities/Smart Views Page

Configure the Action Panel to hide the following Quick Add action buttons –

    • On the Manage Leads page – Quick Add Lead, Add New Lead and Add New Lead (in a new tab)
    • On the Manage Activities page – Add Activity and Add New Lead
    • On the Manage Opportunities page – Add Opportunity and Add New Lead
    • On the Smart Views page – Across all the Add Activity, Add Lead and Add Opportunity buttons.

To hide these buttons –

  1. Click Configure.
  2. On the Configure Actions Panel pop-up, from the respective entity tabs, uncheck the Checkbox checkboxes for the buttons you want to hide.
  3. Once you’re done, click Save.

In the below example, we’ve configured the Action Panel to hide the Quick Add Lead button on the Manage Leads page.

  • Configure Activity Process Button in Lead Details

Configure the display name of the Processes button, present on the Add Activity process on the Lead Details page. If you’ve configured a process to show different forms on the Lead Details page, this setting will allow you to change the display name of the button that triggers the process.  To know how to add a process, please refer to How to Create a Process.

LeadSquared Advanced Configuration

  • Configure Agent Popup Grid

Admins can customize the columns in both Lead and Opportunity grids within the Agent Popup to align with their business requirements. Additionally, they can choose to disable the grids if needed.

  1. Click Configure.
  2. Select Enable Lead/Opportunity Grid in the Lead or Opportunity Tab.
  3. Select the Columns under their respective Schema Name.
Note: The ordering of the columns in the Agent Popup is based on the order of clicking in the Configure Agent Popup Grid settings. Make sure to click on the columns in the desired sequence to arrange them accordingly.

  • Configure Custom Fields for User On-Boarding in Mobile App

When enabled, users who don’t have access to email inboxes can still sign-up for their LeadSquared account. This setting can help you onboard external vendors, delivery partners, or third-party service providers. To know more, please refer to Sign-up Users Without Access to Email Inboxes.

  • Configure Smart Views

Allows you to configure the number of custom filters you can set on a Smart Views tab, along with the auto refresh rate (intervals) for these Smart Views tabs.

  • Configure telephony ignore rules

When enabled, this setting will ignore calls from unknown numbers. This works across all telephony providers. Logs of ignored calls will still be posted in your account. To view telephony logs,  navigate to My Profile>Settings>API and Webhooks>Telephony Logs.

  • Configure User Deactivation rules

Let’s you restrict your Admins from deactivating users with associated leads/opportunities. To do this –

  1. Search for Configure User Deactivation rules, and click Configure.
  2. On the User Deactivation Rules pop-up, enable the checkbox Checkbox to restrict deactivation –
    • If user has associated Leads
    • If user has associated open Opportunities
  3. Once you’re done, click Save.

  • Disable ‘Delete all Leads’ static List Action

This setting hides the Delete all Leads action on the List Details page. It helps prevent accidental lead deletion.

  • Disable Access of LSQ app in Iframe

This is a security setting that disables clickjacking in your LeadSquared account. When enabled, LeadSquared won’t work in an Iframe.

  • Disable Agent Popup in Multiple Tabs

When enabled, the Agent pop-up will only be displayed on the active browser tab (when LeadSquared is open on multiple tabs).

  • Disable Lead Notes Feature

When enabled, users won’t be able to add notes to a lead -the Add Note button and Notes tab on the Lead Details page won’t be visible. This setting is helpful to prevent users from adding notes to leads and encouraging them to adhere to a defined business process (adding details in activities, forms, etc.). However, notes created via API will still be posted against leads.

  • Disable Opening of Entity Details in Marvin

By default, the Lead or Opportunity details page opens automatically for incoming calls in Marvin. Turn this on if you prefer not to open the details page automatically.

  • Enable Async APIs for Telephony (Capras)

For customers using the Exotel Telephony connector, once you enable this setting, you can use LeadSquared’s Async API framework to ensure more reliable call logs posting for outbound calls. To know more, refer to Exotel Connector.

  • Enable Auto Check-In on Login
    When enabled, users logging in to their LeadSquared accounts will be automatically checked in. This setting can be enabled only if user check-in is configured on your account. To know how to configure it, refer to User Management Features: Check-In and Check-Out.
Note: The Auto Check-in on Login feature only works if the user has checked out the previous day. If a user remains checked in overnight without checking out, the system will not register an automatic check-in the next day.

  • Enable Auto Check-out on Sign-out

Users can now automatically check-out of LeadSquared while logging out. When this setting is enabled, users will only get the option to ‘Check-out and Log-out’ while signing out of LeadSquared. This allows Admins and Managers to view an accurate report of the users’ Check-in and Check-out history.

  • Enable Automation Mail Merge as per ‘From’ User’s Time Zone in Email Cards
    When a user is in a different timezone, and the LeadSquared account is configured in a different timezone, and a mail merge date/time field is included in the Send Email automation card, the account’s timezone is automatically applied to the date/time value of the field.
    For example, a user’s timezone is configured to Pacific Time (PT) and the LeadSquared account is configured to Eastern Time (ET). When a date/time mail merge field is added in the Send Email automation card like an application interview date field, the value of the field is automatically set to the account timezone (ET) instead of the user’s timezone (PT). This may result in the lead receiving an unintended application interview date/time in the email.
    Once enabled this setting applies the user’s timezone to the mail sent through the automation card.
  • Enable change of Opportunity owner on Lead owner change
    When enabled, the new lead owner will automatically become the opportunity owner for all child opportunities under the lead.
  • Enable Call Log Optimization
    The Call Log API for telephony integrations can now be optimized for better performance.
  • Disable Report Subscriptions
    Disables the Daily Reports subscription for all users in your account.

LeadSquared Advanced Configurations

  • Disable Sales Activity
    Click Configure to –

    • Restrict users from adding a new Sales Activity – When selected, users in your account will not be able to add any new Sales Activities. They can continue to view and edit existing Sales Activities.
    • Remove complete access to Sales Activity – When selected, users in your account will not be able to add new Sales Activities. Additionally, they will also not be able to view and edit existing Sales Activities.

  • Disable Task Type configuration for non-admin roles
    Restricts Marketing Users and Sales Manager roles from viewing, creating and configuring task types.

  • Enable anchor tag for lead name
    When enabled, the lead name link that redirects to the Lead Details page in the Manage Opportunities grid will be available. You can disable this to reduce clutter, if users are working specifically on opportunities.

  • Enable Default Status And Stage
    This setting allows you to set a default status and stage for new opportunities. To configure statuses and stages, please refer to Opportunity Configurations.

  • Enable default tab for all users
    This setting allows you to set a default tab (such as Activity History, Tasks, etc.) for all users on the Lead Details page. To do this, against the setting, click Configure, and select the default tab you want to display.

  • Enable Email Notification on Automation Failure

Select the list of users who’ll receive an automation failure email notification. To do this, click Configure, and on the Notify Users on Automation Failure pop-up –

  1. Under Notify, on automation failure, if you want to notify the
    • User who created the automation, enable the checkbox.
    • User who modified the automation, enable the checkbox.
  2. To view the list of users in your account by user role type, from the Filter by Role dropdown, select the role type.
  3. From the list of Available Users, select the users you want to notify, and click Right Arrow.
  4. Once you’re done, click Save. The selected users will receive a notification of automation failure.

  • Enable Enhanced Data Type For Opportunity

Enable this setting to Configure Opportunity Fields using the following data types –

    • Phone
    • Email
    • Date
    • Geolocation
    • Auto ID

 

  • Enable formatting of non-unique phone type lead fields

When enabled, phone type lead fields that are not marked unique, will be processed and formatted as follows –

+cc-<phone number>

For this to work, the default country code must be defined from the Company Profile settings (Settings>Profile>Organization Settings>Company Profile and define ‘Default Country Code’ field).

  • Enable full screen mode of lead details

When enabled, if a user clicks on a lead from a Smart Views tab, the Lead Details page will open in full-screen mode.

  • Enable Hiding Opportunity Activities of other users
    When enabled, the opportunity owner will not be able to view the activities posted on the opportunity by other users, under the Activity History tab on the Opportunity Details and Lead Details pages. For e.g., when there is a change in opportunity owners, this setting can be used to hide past activities from the new owner.
  • Enable Lead Capture
    When enabled, lead capture activities (captured by the Lead Capture API) posted for duplicate leads, are visible on the Lead Details page, under Activity History.

  • Enable leading zeros in phone type lead fields

When enabled, users can create phone numbers with zero as the first digits. This is helpful for phone numbers in certain countries that support zeros as the first digit of the phone number.

  • Enable new phone number format setting

Once enabled, international phone numbers will be formatted in the cc+phonenumber format. 

  • Enable Opportunity – Telephony

When enabled, opportunities are integrated with telephony connectors. This allows users to perform telephony events on opportunities. To know more, please refer to Opportunity Integrations in Telephony.

  • Enable Permission Templates for Account Management

Once enabled, Admin users can set Permission Templates to restrict your users from Viewing, Creating, Editing, Deleting, Exporting and Importing individual Accounts.

    When enabled, you can share opportunities with your users for a defined duration, using the Opportunity Share feature and Share an Opportunity API.
  • Enable quick filters on manage opportunities page
    When enabled, on the Manage Opportunities page, you can create and save quick filters using the Advanced Search feature.

    When enabled, you can send emails to your leads from the Opportunity Details page.

In telephony connectors, where multiple virtual numbers are configured, the setting randomizes the virtual number with every call placed by an agent.

  • Restrict Operations on Closed Opportunities (Won/Lost)

This setting restricts users from performing any updates, or posting any activities/tasks on a closed opportunity. Once enabled, you can configure individual opportunities to restrict user operations. To know more, please refer to Opportunity Configurations.

Note: This is also applicable on the LeadSquared Mobile App.

  • Entity Access through Opportunity ownership
    When enabled, users can view 2,000 or more opportunities that have been assigned to them.

  • Ignore Inbound Calls

When enabled, all incoming calls from unknown numbers received through any configured telephony connector (through the call log or agent pop-up) will be ignored. This ensures that users can focus only on calls with existing leads.

  • Infinite scroll in Activity History

When enabled, the Show More button gets disabled and infinite scrolling is enabled under Activity History tab on the Lead Details page.

  • Load inactive tabs in Smart Views

When you navigate between Smart Views tabs, they sometimes take a moment to load. This setting saves you time, by pre-loading data for inactive Smart Views tabs in the background.

  • Redirect to lead details page

Enables you to redirect to the Lead Details page, instead of seeing the agent popup, while making or receiving calls from a lead.

  • Remove Quick Add Activity Button

When enabled, the Quick Add Activity Button (on the Lead Details page) won’t appear if processes are configured to show dynamic forms in Lead Details>Add Activity. This helps eliminate clutter and ensures that users adhere to processes where dynamic forms have been configured.

  • Restrict all mobile users as email senders
    When enabled, LeadSquared Mobile App users will not appear as the sender in the “From” email dropdowns, across email campaigns, one-to-one emails, automation emails, and landing page auto-response emails. However, mobile users can continue to send emails even after this setting is enabled.
  • Restrict request history to owners
    Users will only be able to view their own requests (lead delete, lead export, etc.), and not requests made by other users, under Request History.

Notes:

  • For customers with Super Admin enabled –
    • Only Super Admins will be able to toggle the setting
    • Only Super Admins will be able to see everyone’s records
  • In non-Super Admin accounts –
    • Only admins will be able to toggle the setting
    • Only admins will be able to see everyone’s records
  • Restrict sales user to view email template
    When enabled, sales users sending emails will only be able to see their own email templates, and not email templates of other users.

  • Restrict update of associated phone number
    When enabled, only admin users will be able to update to the ‘Agent Phone Numbers’ associated with a user. If disabled, all other user roles will be able to update the ‘Agent Phone Numbers’ associated with their own user profiles.

  • Restrict users from creating email templates
    This allows you to restrict specific users from creating email templates.
  • Restrict users to download activity attachments
    Restricts your users from downloading audio files that are added as activity attachments. When enabled, your users will still be able to access and listen to the audio files. To enable this setting, click Configure, and select the audio file types for which you want to restrict user downloads.

  • Show all groups filter in Smart Views
    For lead tabs in Smart Views, Admin, Marketing and Sales Manager roles can see leads belonging to all sales groups, using the sales group filter. By default, sales users can only see leads belonging to his/her own group.

This setting allows sales users to view all sales groups (even the ones that they’re not a part of) in the sales group filter.

  • Show Only Opportunity Related Forms In Agent Popup
    When your users (agents) receive inbound calls, if only a single LeadSquared Form is configured to capture opportunity details and linked to an opportunity to agent pop-up (using the Process Designer), this form is automatically displayed to them. Enabling this setting ensures your users don’t have to manually select this form through the Agent Popup.
    Note that if more than one form is linked to the agent pop-up, even after this setting is enabled, your users will have to manually select a form through the Agent Popup.
  • Show Only Relevant Opportunities Under a Lead to Sales User
    When enabled, sales users will only be able to view opportunities for which they are the opportunity owner, on the Lead Details page.

 

  • Show Sales Group Filter for Opportunity Grid in Smart Views
    When enabled, on the Opportunities Smart Views tab, sales users can filter opportunities by the sales groups they are a part of. To allow sales users to view the opportunities of sales groups they are not a part of, enable the Show all groups filter in Smart Views setting.

  • Show Sales Group Filter for Task Grid in Smart Views
    Once enabled, you can filter tasks by sales groups, on task tabs of Smart Views. If you want your sales users to view the tasks of other groups, first enable the Show all groups filter in Smart Views settings.

LeadSquared Product Updates

    We’ve enhanced the user interface for the Teams settings page. The new interface will remove the Bulk Actions button present on the top-right corner of your screen, and will instead allow you to perform actions on an individual level for each team. This makes it easier and quicker to perform actions like Apply Holiday Calender, Workday Templates, Smart Views, etc.

    Once enabled, Admin users can now configure webhooks for opportunity events and keep track of the triggered webhooks.

    When enabled, users can direct replies to one-on-one and bulk emails to a specific user by adding them to the Reply To header during email composition.

Add Leads to Zoom Webinars from LeadSquared

1. Feature Overview

In addition to the ability to create Zoom meetings from LeadSquared, the LeadSquared Zoom Meeting Connector also has a webinars feature. This enables you to host webinars, classes and sessions, depending on your business requirements. You can add up to 50,000 participants in a single webinar (depending on your Zoom webinar license), directly from your LeadSquared account.

  • Set-up the webinar and send invites to all the participants from your LeadSquared account.
  • Collect details of all the participants from the webinar.
  • Manage your Zoom webinars through LeadSquared tasks.

For setting up Zoom meetings between your leads and users, please refer to LeadSquared Zoom Connector.

 

2. Prerequisites

  • You must have an active Zoom account, along with the Zoom Webinar license. To obtain it, please get in touch with your Zoom account manager.
  • Call recording on Zoom is a paid feature. You can record calls through LeadSquared only if this feature is enabled on Zoom. To enable it, please get in touch with your account representative from Zoom.

 

3. How it Works

The steps that need to be followed while using the Webinars feature are mostly similar to the steps you follow while using the Zoom Meeting feature. Once set up, you can add leads to Zoom webinars directly from your LeadSquared account, either manually or through automation.

  1. Install the connector – You’ll have to begin by first installing the Zoom Meetings Connector on your account.
  2. Configure the connector on Zoom and LeadSquared – Post installation, you’ll have to integrate the connector with your Zoom account.
  3. Create webinars – From your Zoom account, create webinars for your leads to join.
  4. Add Leads – Once a webinar is created, you can then add leads to that webinar from your LeadSquared account. You can choose to add individual leads, multiple leads and/or leads in a list to a webinar.
  5. View Activities – Once a lead registers and joins a webinar, you’ll be able to view this as an activity, along with details of the webinar, on the Lead Details page.

 

4. Installation

Install the Zoom Meeting Connector from the LeadSquared App Marketplace.

  1. On the main menu, navigate to Apps>Apps Marketplace.
  2. Search for Zoom Meeting Connector.
  3. Click Install.

5. Configuration

To integrate Zoom with LeadSquared, you must obtain the Zoom API Key, API Secret Key and Event Verification Code, and use these keys to enable the Zoom Connector in LeadSquared. To activate the Zoom connector –

  1. Obtain your Zoom API Key and Zoom API Secret Key
  2. Obtain your Zoom Event Subscription Code and Secret Token
  3. Authenticate your Zoom Connector in LeadSquared
  4. Set Up the Zoom Connector in LeadSquared
  5. Map Fields in the Zoom Connector in LeadSquared
  6. Configure Default Admin Settings in LeadSquared

5.1 Obtain your Zoom API Key and Zoom API Secret Key

You can skip this section if you have already configured your Zoom account and generated the necessary keys. If you haven’t obtained these keys, you’ll have to build and configure a Zoom JWT app to generate them. To know more, refer to Create a JWT App.

  1. Navigate to the Zoom Apps Marketplace.
  2. Under JWT, click Create.
  3. In the Information tab, fill in all the required fields.
  4. Under the App Credentials tab, you’ll find the API Key and API Secret.
  5. Under the Feature tab, you’ll find the Secret Token and Verification Token.

5.2 Authenticate Zoom Connector in LeadSquared

  1. Once you’ve obtained the following keys, copy them and continue the configuration process on LeadSquared –
    • API Key
    • API Secret
    • Secret Token*
    • Verification Token
  2. Under the Authentication tab, enter the above keys alongside the corresponding values.
  3. Once these keys are added, click Next, and continue to Set Up your Zoom Connector.
Note: *You’ll have to add the Secret Token if you’re installing the connector after 23rd October, 2022.

5.3 Set Up your Zoom Connector in LeadSquared

  1. The Zoom Call Activity is set to Zoom Meeting by default. This is a custom activity created by LeadSquared for Zoom calls, and it cannot be edited.
  2. For Zoom Username, if you have used the same email Id in your LeadSquared and Zoom account, you can choose Email Address as your option.
  3. Click Save.
  4. If you’re completing the Set up after 23rd October, 2022, then navigate back to the Authentication tab, and copy the Event Webhook URL.
Note: If the email Id you’ve used in Zoom is different from the one used in your LeadSquared account, you’ll have to create a custom user field and enter the Zoom email Id in that field. To know how to create a custom user field, refer to Manage User Custom Fields.

5.4 Generate your Zoom Event Subscription Code

In this step, you must configure the LeadSquared Event Webhook URL in your Zoom JWT app. This ensures Zoom posts data to LeadSquared for the event types you subscribe to. You can find this code under the Feature tab.

Event Subscription are the actions that are automated once an event has taken place. Examples of events are user creation or call recordings that have been completed*. The URL for these events get stored as an Activity on LeadSquared. To enable Event Subscription on Zoom –

  1. From your LeadSquared account, on the LeadSquared Zoom Configuration page, under the Authentication tab, copy the LeadSquared Event Webhook URL.
  2. Navigate to your Zoom account. Under the Feature tab, alongside Event Subscription, toggle the Zoom slider.
  3. Click the Add New Event Subscription button, and give a relevant name for the entry.
  4. On the Zoom Event Subscription page, under Event notification endpoint URL, paste the Event Webhook URL.
    • If you’re adding a new event after the 23rd October, 2022, it is mandatory for you to Validate* the webhook URL. Once the validation is successful, complete the remaining steps.
  5. Under Event Types, click on Add Events. The following events are supported in LeadSquared-
    • Participant/Host joined webinar
    • Participant/Host left webinar
    • Webinar registration has been created
    • Webinar registration has been cancelled
    • Webinar registration has been approved
    • Webinar registration has been denied
  6. Once you’ve selected the Event types, click Done.
  7. Click Save, and then click Continue. Your Event Verification Code is generated. Once you’ve completed the above steps, your Zoom JWT app is active.

Note:

  • *Before you Validate the webhook URL, ensure the connector Set Up is Saved in LeadSquared. The validation will fail if the set up is not saved.
  • If an event was created before 23rd October, 2022, and if you’re looking to edit the event after the said date, it’s recommended you create a new event, and delete the existing event (instead of editing it). Editing this event may result in you not receiving Zoom meeting updates.

5.5 Map Fields in your Zoom Connector in LeadSquared

You can automate task creations in LeadSquared for every Zoom meeting you schedule. In this section, you can map the meeting details to the corresponding task fields in LeadSquared. Once this is done, you can view these tasks and details on the Lead Details and Manage Tasks page, and track them to completion.

  1. Ensure the Zoom slider at the top of the page is active.
  2. Under Task Type, select the desired task type (we recommend Meeting). This ensures that when you schedule a Zoom meeting, a Meeting task type is created in LeadSquared.
  3. Under Meeting URL, select Location. Every time you schedule a meeting, your meeting URL gets published directly to LeadSquared.
  4. Under Invite Description, select Description. This ensures your meeting description gets published to LeadSquared.
  5. Click Next.

5.6 Configure Default Admin Settings in LeadSquared

These are additional settings that are available to you.

  1. “Generate Zoom Meeting ID Automatically” is enabled by default, and you can’t disable it.
  2. Enable “Start recording…” to ensure that all your calls get recorded. The other options can be turned on or off, depending on your requirement.
  3. Once you’re done, click Save.
  4. You’ll get a “Configurations Saved” notification on top of your screen.

5.7 Webinar Settings

You must have a webinar licence from Zoom to enable these settings on your account. To enable it, toggle the Slider slider.

  • Webinar Webhook URL – The LeadSquared webinar webhook URL that you must enter on the Zoom Event Subscription page.
  • Maximum Audience Size – The maximum number of participants in a webinar. The limit is determined by your Zoom webinar license subscription plan.
  • Select Custom Users for List – You can restrict the number of LeadSquared users who can access the webinar feature. To do this, toggle the Slider slider, and from the Select Users dropdown list, select the users for whom you want to restrict access to.
  • Create new lead when registration is complete – To create a new lead in LeadSquared when a participant registers for the webinar, toggle the slider. When leads are captured from your Zoom Webinar registrations, we’ll capture leads with the following webinar registration fields

Note: The Webinar Registration form fields will be captured against lead fields only if the schema names in your LeadSquared account are exactly as listed above. If you’ve made any changes to the schema name, or if a schema field is disabled on your account, the data capture won’t work as intended.

Once you’re done, click Finish. You’ll get a “Configurations Saved” notification on top of your screen.

 

6. Create Webinars

You can only create a Zoom Webinar from your Zoom account. To know how to create a webinar, please refer to Getting started with Zoom webinar. Once a webinar is created in your Zoom account (that’s linked to your LeadSquared account) you can add leads to that webinar directly from LeadSquared.

 

7. Add Leads to a Webinar

7.1 Individual Leads

To add an individual lead to your Zoom webinar –

  1. From the LeadSquared main menu, navigate to Leads>Manage Leads.
  2. On the Manage Leads page, against a lead, hover your cursor over the Action Icon icon. From the dropdown list, click Online Meeting, and then click Add to Zoom Webinar.

7.2 Multiple Leads

To add multiple leads to your Zoom webinar –

  1. From the LeadSquared main menu, navigate to Leads>Manage Leads.
  2. On the Manage Leads page, select the leads you want to add to the webinar by checking the Checkbox box against their names.
  3. After selecting the leads, hover your cursor over the Leads button.
  4. From the dropdown list, click Online Meeting, and then click Add to Zoom Webinar.
  5. On the Zoom Webinar pop-up, from the Select Webinar dropdown, select the webinar you want to add the leads to.
  6. From the Webinar Occurrences dropdown, select the date and time on which you want to schedule the webinar. This field is available only for recurring webinars.

7.3 Leads in a List

To add leads in a list to your Zoom webinar –

  1. From the LeadSquared main menu, navigate to Leads>Manage Lists.
  2. On the Manage Lists page, against an existing list, hover your cursor over the Action Icon icon. From the dropdown list, click Online Meeting, and then click Add to Zoom Webinar.
  3. On the Zoom Webinar pop-up, from the Select Webinar dropdown, select the webinar to which you want to add the leads in the list.
  4. From the Webinar Occurrences dropdown, select the date and time on which you want to schedule the webinar. This field is available only for recurring webinars.
  5. You’ll find other details of the webinar, such as webinar URL, ID, timezone, etc.
  6. Once you’re done, click Add to Zoom Webinar. The leads in your list will get an invite for the webinar.
Note: The number of leads in the list will have to be within the range of the Maximum Audience Size limit, which you entered while configuring the connector.

Note: Once a lead is registered for a webinar, an invite will be sent to the lead via Zoom, if your configuration on Zoom is enabled accordingly. If this isn’t configured, then you can create an automation, based on an activity trigger, to send an invite email to the lead. To know more, refer to the Sending Invites to Leads through Automation section in the Zoom Meeting Connector article.

 

8. Webinar Activities

Activities are posted –

  • When a lead registers for a webinar.
  • When a lead joins/leaves a webinar.

You can filter leads based on these activities (for example, leads that attended a webinar, leads that left a webinar, etc.) and set up tasks, follow-ups and automations based on your business flow.

To view these activities, on the Lead Details page –

  1. From the main menu, navigate to Leads>Manage Leads, and click on the lead who’s been added to the Zoom webinar.
  2. On the Lead Details page, under Activity History, you’ll see  Zoom Webinar activities.
  3. Once you click on Zoom Webinar, you’ll be able to view the webinar details such as Webinar ID, Joining URL, etc.

9. Zoom Webinar Automations

Through automations, you will be able to add leads directly to webinars. To know more about automations, please refer to Automation Home. Some examples of where you can automatically add leads to Zoom webinars are –
  • Automatically register leads to recurring webinars (such as daily online classes, training sessions, offline interest, etc.), based on certain triggers or activities on leads (such as form submission, stage change, etc.).
  • Register leads to webinars (both recurring and non-recurring ones) on form submissions from LeadSquared landing pages and portals.
To add leads to webinars –
  1. From the main menu, navigate to Worklow>Automation.
  2. On the automation page, you can either edit an existing automation, or to create a new automation, click on Create Automation.
  3. After creating a trigger, click the icon, then click Online Meeting, and then click Zoom Webinar.
  4. On the Zoom Webinar pop-up, from the Select User dropdown, select the user. This will show the list of webinars that user has created.
  5. From the Select Webinar dropdown, select the webinar you want to add the leads to. These are the webinars created by the user you selected in the previous step.
    • If it is a recurring webinar, then select the Webinar Occurrences from the dropdown.
  6. Click Done, and add other actions and/or conditions if required.
  7. Click Publish once you’re done.

Alternatively, you can choose to use the mail merge parameters in your automation, to directly add leads to a webinar. This is helpful if your leads are signing up for webinars from your online forms (via portals, forms, webinar landing pages, etc.). The mail merge feature will allow you to automatically capture the webinar details (such as Webinar ID, etc.) to the lead or to an activity in your LeadSquared account.

You’ll have to begin by creating a custom field (see How to Create a Custom Lead Field), listed either under an activity or a lead, to map the webinar Id to the lead. You can call this custom field “Webinar ID”, and your webinar Id will be mapped to this field. Once the lead or activity trigger on which you’re creating the automation is satisfied, the lead will get added to the webinar automatically. This will also ensure that the Zoom Webinar activity is posted on the lead.

To create the webinar automation using mail merge parameters –

  1. On the Zoom Webinar pop-up, toggle the Slider slider.
    • For an existing lead who signs up for a webinar from an online form, then the form submission activity will get created inside LeadSquared, along with webinar details selected by the lead. Select the Activity trigger, and then select the “Webinar ID” parameter.
      As an example, let us look at a recurring online class that’s being conducted. A custom activity field called Webinar ID must be created in LeadSquared. Once a student signs up for the webinar, the webinar ID will be mapped to the custom field (in this case, “Webinar ID”) that’s created as an activity field. This will in turn add the student to the online class (and all subsequent classes under the same Webinar ID). The “Zoom Webinar” activity will then get posted on the student’s Lead Details page.
    • If a new lead is created (from a landing page, portal, etc.), and signs-up for a webinar, the webinar details will be part of the lead’s data. In this instance, select the Lead trigger.
      As an example, let us look at a product demo that’s being scheduled online. A custom lead field called Webinar ID must be created in LeadSquared. Once a lead signs up for a demo, the Webinar ID will be mapped to the custom field (in this case, “Webinar ID”) that’s created as a lead field. This will in turn add the lead to the webinar that’s scheduled. The “Zoom Webinar” activity will then get posted on the Lead Details page.
  2. Once you’re done, click Done.
  3. Click Publish.

Troubleshooting

My Zoom Webinar Automation Card is Failing.

  • Issue: Error in the Zoom Webinar Card of the Automation – “Error in Action Trigger”.
  • Root Cause: This error usually occurs when the Zoom account or Zoom Webinar account is disconnected at the connector level.
  • Resolution: Navigate to the connector settings and reconnect to your Zoom Webinar account.

Opportunity Automation Conditions – If Opportunity Exists

Use the ‘If Opportunity Exists’ condition to check if an opportunity with a defined set of parameters exists in the system. For example, when a new opportunity is created, you can use this card to check if another opportunity of the same type exists in your account. You can follow this up with an action to add the opportunity owner of the old opportunity to the new opportunity. Or, if the old opportunity has expired (older than say, 60 days), you can change it’s stage so that the users can focus on the new opportunity.

Set Up If Opportunity Exists

You can set up the condition at any point after the automation trigger. Scroll down under Conditions, then click If Opportunity Exists.

Note: This condition will work only on an automation created using an Opportunity trigger.

On the configuration pop-up, enter the required conditions, then click Add Condition. When you’re done adding conditions, click Set Condition.

Notes:

  • If multiple opportunities match your criteria, they will be sorted based on Created On date in ascending format.
  • A link to the latest (newest) opportunity will be provided in the opportunity level automation report.
